Business printers are workhorses, but they develop specific issues over time — especially toner detection errors, drum warnings, and connectivity problems. This guide covers the most common issues across multifunction, mono laser, and fax series.
Common Printer Issues
- “Replace Toner” with full cartridge: Some printers use a gear mechanism on toner cartridges. Sometimes the gear doesn’t engage properly.
- “Drum End Soon” warning: The drum unit needs periodic replacement, but the warning can appear early.
- Printer goes offline frequently: Especially on network-connected printers.
- Paper feed problems: Multiple sheets feeding or no paper pickup.
- WiFi connectivity drops: Some printers on 2.4GHz networks sometimes lose connection.
Fix 1: Reset Toner Counter
If your printer says “Replace Toner” but the cartridge is full, reset the toner counter:
- Open the printer cover
- Press and hold the OK button for 5 seconds
- Use the arrow keys to select the toner slot
- Press OK to reset
Fix 2: Clean the Drum Unit
Remove the drum unit and toner cartridge. Use a dry lint-free cloth to gently wipe the green drum surface. Rotate the drum as you clean to cover the entire surface. Avoid touching the green surface with bare fingers.
Fix 3: Fix Offline Status
Some printers often show offline due to SNMP status issues:
- Open Printer Properties > Ports tab
- Find your printer’s port and click Configure Port
- Uncheck SNMP Status Enabled
- Click OK and restart the printer
Fix 4: Reconnect WiFi
If your printer keeps losing WiFi:
- Press the WiFi button on the printer
- Hold it until the WiFi light blinks
- Use your printer’s network management tool to rediscover and reconnect the printer
- Consider assigning a static IP address to prevent disconnections
Fix 5: Fix Paper Feed Issues
Clean the pick-up rollers with a damp lint-free cloth. Check for torn paper pieces inside the paper path. Adjust the paper guides to match your paper size snugly.
